Privacy policy

This policy explains how BetterCase ("we", "us") handles information in connection with the BetterCase website at bettercase.app and the BetterCase workspace, including its sign-in service at accounts.bettercase.app (together, the "Service").
Who this applies to
The Service is invitation-only. It is used by people at law firms that are BetterCase clients ("client firms") and by BetterCase staff. This policy covers information about those users. It also explains, separately, how we handle case information that client firms place in the Service.
Information we collect through Google sign-in
Users sign in with Google. Our Google sign-in requests only these basic scopes: openid, email, and profile. Through them we receive:
- your Google account identifier;
- your name;
- your email address and whether Google has verified it; and
- your profile picture, if you have one.
We do not request access to your Gmail messages, Google Drive files, Calendar, contacts, or any other Google data.
How we use Google user data
We use the information above only to:
- authenticate you and keep you signed in;
- create and manage your BetterCase account and your membership in the client firm or team you were invited to; and
- show your name and picture to other authorized users of your workspace, so they can see who did what.
We do not sell Google user data. We do not use it for advertising. We do not use it to develop, improve, or train artificial intelligence or machine-learning models, including generalized models. We do not transfer it to others except as needed to provide the Service (see "Service providers" below), to comply with law, or as part of a merger or acquisition with notice to you.
BetterCase's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Other information
- Activity in the workspace. When you use the Service, we record actions such as edits, assignments, and comments, along with who made them and when, so the workspace has an accurate history.
- Technical information. Our hosting and sign-in providers process network and device information, such as IP address, browser type, and request times, to deliver and secure the Service.
- Messages to us. If you email us, we keep the message and our reply.
Case information belongs to the client firm
Client firms may place case information in their workspace, which can include information about their clients. BetterCase processes that information on behalf of the client firm, under the firm's instructions and our agreement with the firm. We use it only to provide our services to that firm. Each firm's information is kept separate from other firms' information. If you are a client of a law firm and have a question about your information, please contact your law firm.
AI-assisted features
Some parts of the Service may use artificial-intelligence tools to help authorized users search, summarize, or draft work within their workspace. Where these features are used, information is sent only to providers we have engaged under terms that prohibit them from using it to train their models. Google user data received through sign-in is not used for these features beyond displaying who you are.
Service providers
We use these providers to run the Service. They process information on our behalf and only as needed to provide their services:
- Google: the Google sign-in step.
- Clerk: authentication, user accounts, and sessions.
- Convex: application data storage and processing.
- Vercel: website and application hosting.
- Anthropic and OpenAI (and other AI model providers we engage): AI-assisted features, always under terms that do not allow them to train their models on your information.
Cookies
The sign-in service and workspace use cookies or similar browser storage that are necessary to keep you signed in and secure. This website does not use analytics, advertising, or tracking scripts.
Security
We use reasonable safeguards appropriate to the information we handle, including encrypted connections (HTTPS), sign-in through Google, role-based access controls so users see only what they are authorized to see, separation of each client firm's data, and limiting staff access to what is needed. No system is perfectly secure, and we cannot guarantee absolute security.
Retention and deletion
We keep account information while your account is active and as long as needed to provide the Service to your firm. When your access ends, your firm or BetterCase may remove your account. Case information is kept or deleted according to our agreement with the client firm.
You can ask us to access, correct, or delete your account information by emailing matt@bettercase.ai. We may need to verify your identity and, where the information belongs to a client firm, coordinate with that firm. Some records may be kept longer where required for security, legal, or backup purposes. Please do not include confidential case information in your request.
You can also remove BetterCase's access to your Google account at any time in your Google Account settings under "Third-party apps and services". This stops future sign-ins with Google but does not by itself delete your BetterCase account; email us to request deletion.
Children
The Service is for professionals working at or with law firms. It is not directed to children, and we do not knowingly collect information from anyone under 18 through sign-in.
Changes to this policy
We may update this policy as the Service changes. We will post the updated policy on this page with a new effective date, and, where a change is material, we will notify users before it takes effect.
